MICE stands for Meetings, Incentives, Conferences and Exhibitions — the four categories of business travel where people travel to attend an organized event rather than to do individual work. The term is used across the travel industry to describe this segment collectively. It covers everything from a twelve-person board offsite to a multi-thousand-delegate trade exhibition.
Attrition is the shortfall between the room nights you contracted and the room nights your delegates actually book. The clause sets how much of that shortfall is forgiven — commonly a 10 to 20 percent allowance, meaning 80 to 90 percent pickup — and what you owe below it. The percentage, the cut-off date and the measurement method are all negotiable before signing, which is where most avoidable event cost is won or lost.
Cost depends on destination, duration, group size and how much of the programme is inclusive. The controllable variables are qualifier count, the spread of air origin cities, and how early the destination is contracted. Worldgo prices incentive programmes per qualifier so the budget scales predictably with performance, and quotes air separately from land so you can see both.
For a conference with a contracted room block, twelve to eighteen months gives you real negotiating leverage on rate, attrition and concessions. Six months is workable. Under 90 days you are accepting whatever terms are available, which is where most avoidable cost enters. Incentive programmes with international destinations need the longer end of that range.
Yes. Worldgo runs concurrent event programmes with a separate travel manager assigned to each and a shared reporting layer across all of them, so your finance team sees one consolidated view rather than three. Overlapping events are normal in the first and fourth quarters, and the model is built for it rather than stretched to accommodate it.
Generally you can claim 50 percent of food, beverage and entertainment costs, and that limit applies to meals at a convention or conference. The exception is events where all employees at a location are invited — those escape the 50 percent limit, and the Canada Revenue Agency permits six per year.
