The Challenge

Why Meetings & Events Travel is Different — And Why It Demands a Specialist

Event budgets are rarely lost on the day. They are lost in the contract — in attrition clauses, service charges and food-and-beverage minimums signed months in advance against a headcount nobody could forecast. By the time the invoice arrives, the money is already gone.

Common Pain Points

  • ✕Room block attrition penalties that land weeks after the event, against a headcount nobody could forecast.
  • ✕Delegates booking cheaper rates on consumer sites, leaving you paying for rooms that sat empty.
  • ✕Travel details arriving in fragments across four spreadsheets, reconciled at midnight before day one.
  • ✕Service charges, resort fees and audiovisual exclusivity clauses buried in a contract signed a year ago.
  • ✕No single view of what the event actually cost per delegate once everyone is home.

The Worldgo Difference

  • ✓Blocks sized against your real historical pickup, with the attrition percentage and cut-off date negotiated as terms rather than accepted.
  • ✓A managed booking channel and delegate communications that keep bookings inside the block where they belong.
  • ✓One working manifest your on-site team, transfer supplier and venue all read from — built and maintained by us.
  • ✓Every contract read before signing, with the cost lines flagged in plain language while you can still negotiate them.
  • ✓Post-event reconciliation showing block utilization, cost per delegate and exactly where the money went.

The Process

How Worldgo Meetings & Events Works

Four steps from first call to post-event reconciliation. No obligation at any point before you sign.

1

Free Consultation

We work through delegate count, origin cities, dates, your venue contract if one is already signed, and where your last event cost more than it should have. Thirty minutes, no sales pressure.

2

Custom Programme Design

Your dedicated event travel manager builds the air strategy, the block plan with a defensible attrition position, the delegate communication sequence and the reporting cadence.

3

Delegate Rollout

The booking channel goes live, delegates receive instructions in English or French, and the manifest starts populating. We chase the stragglers so your event team does not have to.

4

On Site and After

Travel desk staffed for the duration, then a reconciliation showing block utilization, cost per delegate and where every dollar landed.

Proudly Canadian

We Know Where Canadian Companies Actually Meet

Every Canadian event market has its own rate seasons, its own block behaviour and its own transfer bottlenecks. A programme built for Toronto in October does not transfer to Whistler in February. Worldgo has run delegate travel into all four of the country's major event corridors.

Toronto & the Greater Toronto Area

Downtown convention hotels, Pearson transfer volume, and the tightest block competition in the country.

Vancouver & Whistler

Coastal conference properties and mountain incentive venues, with a seasonal rate swing that rewards early contracting.

Montréal & Québec City

Bilingual delegate handling, European air routings, and strong shoulder-season value.

Calgary & the Rockies

Banff and Kananaskis incentive properties served through a single gateway with predictable transfer timing.

10+

Years Serving Canadian Industry

Delegate travel run for conferences, incentives and national meetings coast to coast.

24/7

Emergency Support — Included Free

A human advisor at any hour, never a call queue or a chatbot.

100%

Transparent, All-Inclusive Pricing

One-time service fees with no contract lock-in.

Common Questions

Meetings & Events — Frequently Asked Questions

The questions Canadian event and marketing teams ask us most often, answered plainly.

MICE stands for Meetings, Incentives, Conferences and Exhibitions — the four categories of business travel where people travel to attend an organized event rather than to do individual work. The term is used across the travel industry to describe this segment collectively. It covers everything from a twelve-person board offsite to a multi-thousand-delegate trade exhibition.

Attrition is the shortfall between the room nights you contracted and the room nights your delegates actually book. The clause sets how much of that shortfall is forgiven — commonly a 10 to 20 percent allowance, meaning 80 to 90 percent pickup — and what you owe below it. The percentage, the cut-off date and the measurement method are all negotiable before signing, which is where most avoidable event cost is won or lost.

Cost depends on destination, duration, group size and how much of the programme is inclusive. The controllable variables are qualifier count, the spread of air origin cities, and how early the destination is contracted. Worldgo prices incentive programmes per qualifier so the budget scales predictably with performance, and quotes air separately from land so you can see both.

For a conference with a contracted room block, twelve to eighteen months gives you real negotiating leverage on rate, attrition and concessions. Six months is workable. Under 90 days you are accepting whatever terms are available, which is where most avoidable cost enters. Incentive programmes with international destinations need the longer end of that range.

Yes. Worldgo runs concurrent event programmes with a separate travel manager assigned to each and a shared reporting layer across all of them, so your finance team sees one consolidated view rather than three. Overlapping events are normal in the first and fourth quarters, and the model is built for it rather than stretched to accommodate it.

Generally you can claim 50 percent of food, beverage and entertainment costs, and that limit applies to meals at a convention or conference. The exception is events where all employees at a location are invited — those escape the 50 percent limit, and the Canada Revenue Agency permits six per year. Keep supplier tax numbers and business-purpose documentation. This is general information, not tax advice.
